Fifi CRM

Terms of Service

Last updated:

These terms are the agreement between you and CorporateMutt, LLC for using Fifi CRM. We’ve kept them as plain as we can. Please read them together with our Privacy Policy, which explains how we handle personal information.

1. Accepting these terms

Fifi CRM (“Fifi”) is a customer relationship manager for small teams, run by CorporateMutt, LLC (“CorporateMutt”, “we”, “us”), a New Jersey limited liability company, at 740 Tutor Lane, Williamstown, NJ 08094, United States. It’s available at fetchfifi.com and app.fetchfifi.com.

By creating an account or using Fifi, you agree to these terms. If you don’t agree, please don’t use Fifi.

If you use Fifi for a company or other organization, you confirm that you’re allowed to accept these terms on its behalf, and “you” includes that organization.

Fifi is a business product. You must be at least 18 years old to use it.

Where Fifi is available. Fifi is offered to businesses and other organizations in the United States. It isn’t offered in the European Economic Area, the United Kingdom or Switzerland yet: please don’t sign up an organization established there, or use Fifi for a business operating there, until we say it’s available.

2. Accounts and workspaces

Your account

You sign in with Google, with Apple, or with a one-time code sent to your email. Fifi has no passwords, so your account is only as secure as that Google account, Apple ID or mailbox. Keep them secure, and tell us at support@fetchfifi.com if you think someone else has used your account.

Give us accurate information and use an email address you control. Fifi accepts only verified email addresses, and not Apple’s “Hide My Email” relay addresses. An account is for one person; please don’t share it.

Workspaces

Your team’s data lives in a workspace. Whoever creates a workspace becomes its owner. Each person in it is an owner, admin or member. Owners and admins can invite people, change their roles, remove them, restore deleted contacts, companies and deals, and see the workspace’s activity log. Only owners can rename or delete the workspace, export all of it, or transfer ownership.

Each workspace belongs to the organization that uses it, our customer. Its owners are responsible for the workspace: for who they invite, for how members use Fifi, for the content in it, and for making sure everyone in it follows these terms. If you’re a member, the workspace’s owners and admins can see and manage the content you add, and can remove you.

A workspace always has at least one owner. If you’re the only owner of a workspace that other people still use, you’ll need to hand over ownership before you can delete your account.

3. Acceptable use

Use Fifi only for lawful purposes and in line with these terms. In particular, don’t:

  • send spam or unsolicited bulk email, or use Fifi to contact people who have asked not to be contacted;
  • track people unlawfully, including tracking email opens where the law requires consent or notice you don’t have;
  • collect or store personal information you have no right to hold;
  • photograph or store pictures of people without the consent the law requires, or pictures you aren’t allowed to take, keep or share;
  • store information Fifi isn’t designed to protect to the standard the law sets for it, such as protected health information under HIPAA, full payment card or bank account numbers, or government ID numbers (other than a tax ID given for texting registration);
  • use Fifi’s forms or booking pages to collect information directly from children under 13;
  • scrape, crawl or harvest data from Fifi, or access it by automated means other than the features we provide, such as the Fifi API;
  • overload, disrupt or abuse the service, or get around its rate limits, bot checks or other protections;
  • probe, scan or test the security of Fifi without our written permission (if you’ve found a vulnerability, please tell us at support@fetchfifi.com);
  • try to access another workspace’s data or an account that isn’t yours;
  • upload malware, or content that is illegal, infringes someone’s rights, or that you aren’t allowed to share;
  • copy, resell or reverse engineer Fifi, except where the law allows it.

We may investigate suspected misuse and act on it, as described in Suspension and termination.

4. Your content

Workspace content is everything your team puts in Fifi: contacts, companies, deals, tasks, notes, calls, meetings and tags, and any email Fifi stores for the workspace from connected Gmail and Microsoft 365 / Outlook mailboxes. Your organization owns its workspace content. We don’t claim any ownership of it.

You give CorporateMutt permission to host, store, copy, process, transmit and display workspace content only as needed to run Fifi for you: to provide, secure, back up, support and fix the service, and to meet our legal obligations. We don’t sell it and we don’t use it for advertising.

You’re responsible for your content and for having the rights you need to put it in Fifi. That includes photos you add to a timeline: you must have the right to take and keep each one, and the consent of the people in it wherever the law requires it. Our Privacy Policy explains how we handle the personal information in it.

Personal information we process for you

For the personal information in your workspace content, your organization is the controller (or “business”) and CorporateMutt is its processor (or “service provider”). We will: process it only to provide Fifi as you use and configure it, and as these terms and our Privacy Policy describe; not sell it, share it for cross-context behavioral advertising, or use, keep or disclose it for any other purpose or outside our relationship with you, except as the law allows a service provider to; keep it confidential and protect it with the measures in our Privacy Policy; tell your workspace’s owners without undue delay after we become aware of a security breach affecting it; pass on requests we receive from the people in it, and help you answer them; and delete it when your workspace is deleted, as our Privacy Policy describes. If you need a data processing agreement, for example to meet a US state privacy law’s requirements for service providers, email us.

5. Your responsibilities for contacts and email

Your workspace will hold personal information about other people, such as the contacts you track and the people you email. Your organization decides what is collected about them and why, and CorporateMutt processes it on your behalf. So it’s your responsibility to:

  • have a lawful basis to collect, store and use your contacts’ information, and give them any notices the law requires;
  • deal with requests from your contacts, such as requests to see or delete their information (we’ll help where we reasonably can);
  • follow the email and anti-spam laws that apply to you, such as CAN-SPAM in the US, CASL in Canada and the ePrivacy rules in the EU and UK, including honoring opt-outs;
  • tell recipients about email open and click tracking, and get their consent where the law requires it (for example for people in the EU or UK), or turn open tracking off for your workspace (Settings → Workspace) or mark them “do not track”;
  • send marketing campaigns only to people you’re allowed to email (no bought or scraped lists), keep your workspace’s postal address accurate, and never remove or hide the unsubscribe link;
  • mark a contact “do not track” when their email with your team shouldn’t be stored in Fifi.

If you connect a Gmail or Microsoft 365 / Outlook account, you confirm it’s an account you’re allowed to connect, and you let Fifi read and send email through it as described in our Privacy Policy (Gmail, Microsoft 365 / Outlook).

6. Texting (SMS)

If your workspace turns on texting, Fifi gets it a phone number through our provider, Twilio, and sends and receives texts for you. The number is provided for use with Fifi while your workspace has texting; it isn’t transferable. Texting is a usage-based feature with daily and monthly limits, which may become a paid add-on (see The beta and pricing).

You’re responsible for the texts your team sends. In particular you must: text only people who have given you the consent the law requires (such as the TCPA in the US and CASL in Canada) and never bought or shared lists; honor opt-outs (Fifi stops texts to anyone who replies STOP, and you must not try to get around that); identify your business; respect the times of day when the law lets you text people (Fifi holds automatic reminders between 9 pm and 8 am in the recipient’s time zone, but not texts your team sends by hand); keep records of the consent you rely on; and not send texts that are unlawful, deceptive, harassing, or about content carriers prohibit. US carriers require business numbers to be registered (A2P 10DLC); see Texting registration and fees, below. Sending from a US number starts only once its registration is approved. We may suspend texting for a workspace that breaks these rules, gets many complaints or puts the number or our account at risk.

7. Texting registration and fees

This section applies once Fifi offers texting registration to your workspace. If you use Fifi’s texting in the United States, mobile carriers require your business to be registered with The Campaign Registry before your texts can be delivered. When you choose to register, Fifi submits your business and your texting program to Twilio and The Campaign Registry on your behalf, as a software provider registering its customers, using the information you give us. You confirm that the information is accurate and that you’re authorized to give it. Registration is reviewed by carriers and others, not by Fifi, and may be rejected or take weeks; we can’t promise approval.

Fees. Twilio charges registration fees (one-time brand and campaign registration fees and a monthly campaign fee). Fifi passes them on to you at cost, without markup, as shown before you submit, and only a workspace owner can agree to them. CorporateMutt will invoice you. Fees are charged when your registration is submitted, aren’t refundable if it’s rejected, and the monthly fee continues until you cancel the registration in Settings → Texting. Fees can change; we’ll tell you before a change takes effect, and won’t charge a new kind of fee you haven’t agreed to. Amounts exclude taxes.

Acceptable use. You may use registered texting only for appointment and service updates and replies to customers who asked to hear from you, never for marketing or promotions, and only to people who agreed to your texts. We may cancel a registration, and stop your texting, if your texts break carrier rules or these terms.

8. Online payments

If your workspace connects a Stripe account, your customers can pay your invoices online. Stripe, Inc. processes those payments under the Stripe Connected Account Agreement, which you accept with Stripe when you connect. Stripe, not Fifi, is your payment processor. Money goes straight to your Stripe account. Fifi never receives, holds or transfers it, and doesn’t charge a fee on it. Stripe’s fees, payouts, refunds, disputes and chargebacks are between you and Stripe, and you are responsible for responding to disputes and for your refunds, invoices and taxes. Fifi records online payments, refunds and disputes on your invoices from what Stripe reports, and refunds automatically any amount a customer pays beyond an invoice’s balance. Don’t use online payments for anything Stripe’s terms prohibit, and don’t add surcharges through Fifi. You can disconnect Stripe at any time in Settings → Invoicing; payments already recorded stay on your invoices.

9. The beta and pricing

Fifi is in beta and free while the beta lasts. Features may change, and some may be added or removed as we learn what teams need.

We won’t charge you without warning. Before any charges begin, we’ll give workspace owners at least 30 days’ notice, by email or in the app, including the prices. You’ll only be charged if you agree to a paid plan, and you can export your data and leave at any time.

The one exception is third-party texting registration fees, which a workspace owner agrees to separately, with the amounts shown, before anything is charged (see Texting registration and fees). They’re Twilio’s fees passed on at cost, not a price for Fifi.

10. Availability and support

We work hard to keep Fifi running and your data safe, but during the beta there’s no service level agreement and no guaranteed uptime. Fifi may sometimes be unavailable, for example during maintenance, updates or outages at our providers.

Support is by email at support@fetchfifi.com. We’ll do our best to help, but we can’t promise response times during the beta.

Support and AI answers. Fifi’s AI assistant can be wrong. Its answers are suggestions based on our help articles, are not professional advice, and do not change your agreement with us. Response times we show are goals, not guarantees.

11. Other services

Fifi works with services run by others, such as Google and Apple for sign-in, and Gmail and Microsoft 365 / Outlook. Their own terms and privacy policies govern your use of them. We’re not responsible for those services, and if one changes or stops working, the related Fifi feature may change or stop too.

Google hasn’t verified Fifi’s access to Gmail. Google shows a warning that the app is unverified when someone connects Gmail, limits the total number of people who can ever connect it (100 while the app is unverified), and may limit or end that access. Once that limit is reached no more people can connect Gmail, so connecting Gmail may not be available to everyone, and may stop working. We describe how we protect Gmail data in our Privacy Policy; that’s our own description, not a certification by Google or anyone else.

Ask Fifi, if your workspace’s owners or admins turn it on, uses Claude, an AI model provided by Anthropic, which acts as our sub-processor for it (see Ask Fifi in our Privacy Policy). AI answers can be wrong or incomplete: each answer shows the report it came from, so check that report before you rely on the answer.

If your workspace connects QuickBooks Online, the connection is subject to Intuit’s own terms and privacy policy. Fifi isn’t responsible for the accuracy of the accounting in QuickBooks, so review what Fifi sends to it (see QuickBooks Online in our Privacy Policy).

12. API keys and integrations

Owners and admins can create API keys in Settings → API, so other apps and services can work with a workspace through the Fifi API, described on our Developers page. A key reaches only its own workspace, acts with the permissions of the person who created it, and is limited to the access chosen for it.

Keep API keys secret, like passwords: don’t put them in websites, mobile apps or shared code. Your organization is responsible for everything done with its keys and for the apps it connects, which act on its behalf under their own terms. If you think someone else has a key, revoke it straight away.

Use the API within its rate limits and these terms, including Acceptable use. We may revoke or limit a key that’s misused or puts Fifi or other customers at risk. We may change or retire parts of the API; where we reasonably can, we’ll tell you before a change that would stop an integration from working.

Owners and admins can also add webhooks, which send a workspace’s contact, company, deal, task and activity changes to web addresses they choose. Your organization is responsible for those addresses and for what the services behind them do with the information they receive. Adding, changing and deleting webhooks is recorded in the workspace’s activity log. We may turn off a webhook that keeps failing or puts Fifi or other customers at risk.

13. Suspension and termination

You can stop using Fifi at any time. You can delete your account, and owners can delete their workspaces, from within the app (see Export and deletion).

We may suspend or close an account or workspace if we reasonably believe it breaks these terms, puts the service, other customers or other people at risk, or if the law requires it. Where it’s appropriate and lawful, we’ll tell you first and give you a chance to fix the problem. While a workspace is suspended, its members can’t use it.

We may also stop offering Fifi. If we do, we’ll give you reasonable notice and time to export your data.

The parts of these terms that by their nature should continue after they end will continue, including those about content, feedback, intellectual property, disclaimers, limitation of liability, indemnity and governing law.

14. Export and deletion

Your data is yours to take with you. Owners can export a whole workspace as a ZIP file of CSV spreadsheets. Members can export the lists of contacts, companies and deals they can see.

Deletion becomes permanent once its waiting period ends:

  • Deleted contacts, companies and deals can be restored by an owner or admin for 30 days. Deleted tasks and timeline entries can’t be restored, except photo entries, which an owner or admin can restore for 30 days. Thirty days after deletion, all of them are permanently deleted.
  • Issued invoices and completed service records are kept for at least 7 and 3 years, even if their contact is deleted, because tax and pesticide record-keeping rules require it. The periods that apply to your business may be longer; you’re responsible for keeping what your own obligations require, for example by exporting it.
  • Deleting a workspace removes everyone’s access at once. An owner can cancel for 30 days; after that the workspace and everything in it, including its invoices and service records, are permanently deleted.
  • Deleting your account signs you out everywhere and removes your name, photo, email address and sign-in details. Workspaces where you’re the only member are deleted with it, and once your account is gone nobody can cancel that, so export anything you want to keep first. Content you added to other workspaces stays with them.

Deleted data can stay in our encrypted backups for up to about 6 months until they expire, and is used only to restore Fifi. Our Privacy Policy explains exactly what is deleted, and when.

15. Feedback

We love hearing ideas. If you send us feedback or suggestions, we may use them to improve Fifi without owing you anything for them.

16. Our intellectual property

Fifi, including its software, design, and the Fifi CRM name and logo, belongs to CorporateMutt or its licensors. As long as you follow these terms, we give you a limited, non-exclusive, non-transferable right to use Fifi for your organization’s business while you have an account.

Please don’t use our name or logo in a way that suggests we endorse you, unless we’ve agreed to it.

If you believe something shown through Fifi, such as an image in a campaign email or on a booking page, infringes your copyright, email support@fetchfifi.com with “Copyright” in the subject. Include what you believe is infringed and where it appears, your contact details, a statement that you believe in good faith the use isn’t authorized, and a statement, under penalty of perjury, that your notice is accurate and that you own the right or may act for its owner, with your signature. We may remove or disable the material and tell the workspace that posted it, which can respond. We may close the accounts of people who repeatedly infringe.

18. Disclaimers

We build Fifi to help your team, but we can’t promise it will be perfect, especially during the beta.

Fifi is provided “as is” and “as available”. To the fullest extent permitted by law, CorporateMutt disclaims all warranties, whether express, implied or statutory, including warranties of merchantability, fitness for a particular purpose, title and non-infringement, and any warranty that Fifi will be uninterrupted, secure or error-free, or that data will never be lost.

Email open tracking is never certain: some mail apps and privacy features load images automatically, and others block them, so Fifi can only show what it sees. Don’t rely on open data for anything important.

19. Limitation of liability

To the fullest extent permitted by law, CorporateMutt and its members, employees and suppliers will not be liable for any indirect, incidental, special, consequential, exemplary or punitive damages, or for any loss of profits, revenue, goodwill or data, arising out of or relating to Fifi or these terms, even if told such damages were possible. Our total liability for all claims relating to Fifi or these terms is limited to the greater of the amount you paid us for Fifi in the 12 months before the event giving rise to the claim, and 100 US dollars.

Some places don’t allow these limits, so they apply only as far as the law allows. Nothing in these terms limits liability that the law says can’t be limited.

20. Indemnity

If someone brings a claim against CorporateMutt because of your workspace content, your use of Fifi in breach of these terms or the law (for example, email your team sent or tracked unlawfully), or your violation of someone else’s rights, you’ll defend CorporateMutt against that claim and cover the resulting costs, including reasonable legal fees. We’ll tell you about the claim promptly, let you control the defense, and may take part with our own lawyers at our own cost.

21. Governing law and courts

These terms are governed by the laws of the State of New Jersey, USA, without regard to its conflict-of-laws rules. Any dispute relating to Fifi or these terms will be decided only by the state or federal courts located in New Jersey, and you and CorporateMutt agree to their jurisdiction.

If the law where you live gives you rights that a contract can’t take away, these terms don’t take them away.

22. Changes to these terms

We may update these terms as Fifi grows. If a change is material, we’ll tell you at least 30 days before it takes effect, by email or in the app. Other updates take effect when we post them here. The date at the top always shows the current version.

If you keep using Fifi after a change takes effect, you’re agreeing to the updated terms. If you don’t agree, stop using Fifi and delete your account or workspace before then.

23. Notices

You agree that we can send you notices, including notice of changes to these terms or to pricing, electronically: by email to the address on your account, or in the app. Electronic notices satisfy any legal requirement that they be in writing. Fifi can’t change the email address on an account, so make sure you can keep receiving email there; if you lose access to it, tell us at support@fetchfifi.com. A notice sent to that address counts as received. Send notices to us at support@fetchfifi.com, or by post to CorporateMutt, LLC, 740 Tutor Lane, Williamstown, NJ 08094, United States.

24. Export controls and sanctions

You may not use Fifi if you’re located in a country or region subject to comprehensive US sanctions, or if you’re on a US government list of prohibited or restricted parties. You’ll comply with US export control and sanctions laws when you use Fifi, and you won’t use it to serve anyone those laws prohibit.

25. General

These terms and our Privacy Policy are the whole agreement between you and CorporateMutt about Fifi. If a court finds part of these terms unenforceable, the rest stays in effect. If we don’t enforce a term straight away, we haven’t given up the right to enforce it later. You can’t transfer these terms without our consent; we may transfer them as part of a merger, acquisition or sale of assets, and we’ll tell you if we do. Neither of us is responsible for delays caused by events beyond reasonable control.
