Ask Fifi
Ask a question about your workspace in plain English, such as "How much did we win last quarter by owner?", and get a short answer with the results as a table or chart. Fifi uses Claude, by Anthropic, to turn your question into reports, runs them with your own access, and writes the answer.
Status: Ask Fifi needs CorporateMutt to add an Anthropic API key. Until then it shows as Coming soon: in Settings → Workspace (with "Fifi's AI service is being set up", and no switch), under Coming soon in Settings → Modules, and marked "(coming soon)" in Settings → Plan. The Ask Fifi button in the top bar and the ⌘J shortcut appear once it's set up and the Ask Fifi module is on; until an owner or admin switches it on for the workspace, the panel says it's off.
Who can do it:
| Task | Owner | Admin | Member |
|---|---|---|---|
| Turn Ask Fifi on or off for the workspace | Yes | Yes | No |
| Ask questions (once it's on) | Yes | Yes | Yes |
| Ask Fifi to draft a campaign (needs Campaigns and AI for marketing on) | Yes | Yes | Yes |
| Send a campaign (only after a person reviews it) | Yes | Yes | No |
| See the month's questions | Yes | Yes | Yes |
| Add 50 more questions (+$5) | Yes | Yes | No |
It's off by default in every workspace, because it sends data to a third party. It also needs the Reports module (and the Ask Fifi module) on.
Turn it on
- Go to Settings → Workspace.
- Read what's sent to Anthropic (below, and on the page).
- Switch Ask Fifi on. You'll see "Ask Fifi on."
Turning it on or off is recorded in the activity log.
Ask a question
- Click Ask Fifi in the top bar, or press ⌘J (Mac) / Ctrl+J.
- Type your question, or pick one of the suggestions.
- Press Enter (Shift+Enter for a new line) or click Ask.
What you'll see: a short answer, the report behind it as a table or chart, and:
- Open as report: opens it in the report builder ("Report from Ask Fifi"), where you can change and save it;
- Copy answer.
Ask a follow-up in the same panel. The conversation lives only in your browser and is gone when you reload. Nothing is stored on Fifi's servers.
Answers can be wrong. Check the report behind each one.
Draft a campaign
When Campaigns and AI for marketing (Settings → Marketing) are on too, Ask Fifi can draft a marketing email for you. Ask in plain words, for example:
- "Win back clients who haven't visited in 60 days."
- "Draft a spring email to customers on a quarterly plan who haven't booked since July."
- "Announce a new lane to shippers in Illinois."
Three ways to start.
- Marketing → Draft with Ask Fifi (beside New campaign) opens the panel with "Draft a campaign to " in the question box and the cursor after it. Finish the sentence and press Enter. Nothing is sent until you do. If you had already typed something, it stays in the box.
- Suggestions in the panel include a campaign or two for your kind of business ("Win back clients who haven't visited in 60 days" for pet services, "Invite people who never booked to book online" for appointment services, a new lane for freight). They are fixed phrases, written in your workspace's words and shown only when the module they need (Booking for visits and repeat plans, Deals for open deals) is on. At most two of the four are about campaigns. Opening the panel doesn't call Claude; clicking a suggestion asks it like any question.
- After a campaign Fifi drafted has been sent, the suggestions begin with How did “‹campaign›” do? for 14 days. It is an ordinary question, answered from the existing campaign recipients report (sent, opened, clicked, replied, unsubscribed). The campaign's name goes to Claude only if you click it, and its subject and body never do.
The button and the campaign suggestions appear only when drafting is available to you: Ask Fifi on for the workspace and included in your plan, Campaigns on, and AI for marketing on. Otherwise they are hidden (Ask Fifi's panel still explains when Ask Fifi itself is off). Members, admins and owners all see them.
Fifi:
- turns the request into an audience (lead statuses, tags, source, words in the address, visits, repeat plans, deals) and counts it;
- writes the subject, a preview line and a plain-text body in your brand voice (Settings → Marketing), personalised only with merge fields like
{{first_name|there}}; - saves a draft campaign as you, and shows a Draft campaign card: Not sent, the email, how many people will get it, who is left out and why, the words for the audience, and a few names of people it includes (shown only to you). Open draft takes you to it in Marketing.
It never sends, schedules or deletes anything. The draft says Drafted by Ask Fifi; check the words, any dates or offers and who it goes to, then an owner or admin starts it, with the unsubscribe link and postal address every campaign has. Members can draft but not start.
Revise it in the same conversation: "make it shorter", "more playful", "only quarterly-plan customers". If nobody has changed the draft, Fifi replaces it. If you or someone else has edited it since (or it has a design, or isn't yours any more), Fifi saves your revision as a new draft ("… (2)") and says so: people's edits are never overwritten. What changed on the new card lists the paragraphs added and removed, and the subject, preview and audience changes.
What Fifi won't write. Links, email addresses, phone numbers and street addresses that you didn't give it (the booking page link is fine), prices, discounts and percentages you didn't give it, HTML, a subject starting "Re:" or "Fwd:", or the name or email of anyone in the audience. If a draft breaks one of these, Fifi tries again; after two tries it stops with "Fifi couldn't write a draft that passes Fifi's checks. Try asking another way."
Drafting is off? Fifi says so and where to turn it on: "Drafting campaigns is off here: an owner or admin can turn on AI for marketing in Settings → Marketing." (or Campaigns in Settings → Modules).
A drafting question counts as one Ask Fifi question. Safety limits, on in the beta too: 20 drafts per person a day, 60 per workspace a day, and 50 Ask Fifi drafts waiting in Marketing at once ("This workspace has 50 Fifi drafts waiting. Delete some in Marketing first.").
Start a new conversation
Once you've asked something, click New conversation (the arrow at the top of the panel) to clear the conversation and go back to the suggested questions. Past conversations aren't kept.
What Claude sees, and what it never sees
Sent to Anthropic: your question and the earlier questions and answers in the conversation; the names of the fields Fifi can report on; teammates' names (as aliases, never email addresses); today's date and your time zone; and the results of the reports it runs (at most 50 rows each), including contact email addresses when a report lists them.
Never sent: email bodies, snippets or subjects; note and comment text; task notes; files; or anything from other workspaces.
When Fifi drafts a campaign, Claude is also sent your workspace's name, business type, brand voice, the names of your tags and booking types, your booking page link, today's date and the owner's time zone, how many people each audience reaches and why others are left out (no email address, unsubscribed, sharing an address), and the drafts it wrote earlier in the conversation. It is never told who is in an audience: no contact or company names, email addresses, phone numbers or addresses, nothing from email, notes, comments, files, custom fields, service records, loads or invoices, and not the text of campaigns that people wrote or edited. (A report you ask for in the same conversation can still list contact names and emails, as above.) The names on the draft card come from Fifi's own server and go only to your browser.
Reports run with your permissions, read-only. Anthropic doesn't use this data to train its models.
Limits
| Limit | Amount |
|---|---|
| Per person | 30 questions an hour, 100 a day |
| Per workspace | 300 questions a day |
| At once | 3 questions per workspace |
| Time | 30 seconds per question |
The activity log records one "asked Fifi a question" entry per question: who and when, never the question or answer.
Monthly allowance (the Ask Fifi add-on): 50 questions a month per workspace, plus 50 for each pack an owner or admin adds that month. The panel shows "12 of 50 questions this month". During the beta Fifi keeps answering past it; see the Ask Fifi add-on.
