Media and social posts
Keep your photos and videos in one place, record who's in them and whether they agreed to be used, and turn them into social posts: Claude writes captions and hashtags for each platform, and Fifi makes branded graphics in your browser. Fifi doesn't post for you: you copy the caption, download the media (or share it on your phone) and post it yourself.
Media and Social are part of the Campaigns module, under Marketing in the sidebar, on the Pro and Business plans (during the beta every workspace gets Business). If you see Coming soon, CorporateMutt hasn't finished setting up storage (or, for the AI buttons, the AI service) yet. In a sample workspace the library is there to look at, but uploading and emailed downloads are off; try them in your own workspace.
Who can do it:
| Task | Owner | Admin | Member |
|---|---|---|---|
| Upload, write notes, tag, record who's shown, make graphics, write and save posts | Yes | Yes | Yes |
| Move media or a post to the trash | Yes | Yes | Their own |
| Restore from Trash | Yes | Yes | No |
| Change a consent someone else set to "Declined" | Yes | Yes | No |
| See and download media marked Don't use | Yes | Yes | No (only one they declined for someone on, to change that) |
| Download all media | Yes | Yes | No |
| Settings → Marketing (brand voice, colors, AI for marketing) | Yes | Yes | No |
1. Upload photos and videos
- Go to Marketing → Media and click Add photos and videos, or drag files onto the page. On a phone you can take a photo there and then.
- Choose up to 20 at a time. Each shows its progress, then Checking… while Fifi checks it, then appears in the grid.
What you can upload: photos as JPEG, PNG, GIF or WebP, up to 25 MB; videos as MP4 or MOV, up to 500 MB and 10 minutes. iPhone photos (HEIC) are converted in Safari; in other browsers, share them as JPEG ("Most Compatible" in the iPhone's camera settings).
What Fifi does to them: it checks each file really is what it says, and removes hidden details such as the GPS location where a photo was taken, the camera and the dates (it keeps which way up the photo goes). A video's location is removed the same way, without re-encoding it, including the GPS track that action cameras, drones and dashcams record alongside the picture (and any subtitle or caption track). Your files are private to your workspace's members.
Storage: the top of the library shows how much you've used (Business 50 GB, Pro 10 GB). Items in the trash count until they're gone for good. Each person's uploads that are still being checked can hold up to 5 GB at a time; once they're ready you can add more.
2. Write notes and record who's shown
Click an item to open it.
- Give it a Title, and under What's in it say what the photo shows ("Biscuit, a golden retriever, on the grooming table after a bath"). The better the notes, the better the captions.
- Add Alt text for people who can't see the picture, and Tags (type one and press Enter; tags you've used before are suggested). Tags work like folders: an item can have several.
- Click Save notes. Suggest notes can draft the description, alt text and tags from the picture for you to check and save (it counts as one AI generation). It never guesses who people are.
- Tap the picture to set its focal point, the part a crop keeps (or use the arrow keys).
- Under people and pets, click Add a person or pet for each one shown: a name or description, optionally the contact, and their consent:
- Granted: they agreed (add a note, such as "Signed photo release at intake, 2026-09-12");
- Declined: they said no;
- Unknown: you don't know yet;
- Not needed: for example your own staff with a standing agreement, or a crowd.
- Click Save people and pets. Fifi records who set each consent and when.
What you'll see: every item shows a badge with an icon and words:
- Cleared: everyone shown agreed, or consent isn't needed.
- Consent needed: someone's consent is unknown. Each time you use the item (in a post, a graphic, a campaign, with AI, or to copy, download or share it) Fifi asks you to tick "I have permission to use this media of …", and records it in the activity log.
- Don't use: someone declined. The item can't be used anywhere, and only owners and admins can see it: for other members it isn't in the library, search, a contact's Media or the trash, and a post that used it shows it as Don't use, without its title or picture. The member who declined for someone can still open it (without its picture, and without the other people's consent notes), to change that consent (and its note) once the person agrees; only owners and admins edit, reorder or delete anything else on it.
A contact's or company's page has a Media section with the items linked to it or showing them.
3. Find media
Type in Search media: Fifi matches the start of words in titles, notes, tags and names ("bis gro" finds "Biscuit after his groom"). Filter by Type, tag, Consent and Status, and sort Newest first or By name. The grid shows 60 at a time.
4. Write posts with AI
- Click Create post on an item, or Marketing → Social → New post and Choose media (1 to 4 photos or videos).
- Pick the Platforms: Instagram, Facebook, LinkedIn, X or TikTok.
- Choose a Goal (announce something, promote an offer, show your work, behind the scenes, a tip, a testimonial, an event, hiring), a Tone, and optionally a Brief ("Spring grooming special this week").
- Click Generate. In a few seconds you get two versions for each platform, each with a caption sized for that platform, hashtags, a first comment for Instagram and TikTok, and alt text.
- Edit any version in place, or click Rewrite to make it shorter, longer, more playful, more professional, or add a call to action.
- Click Save as post on the one you like.
Unsaved versions are kept for 30 days, for you only, so you can come back to them.
Limits: each workspace can generate 20 times a day (10 on Pro), and each person 15 times a day in a workspace (30 a day across all their workspaces, and at most 5 a minute); Rewrite and Suggest notes count too. The studio shows how many are left and when they reset (midnight UTC). If Claude can't write posts for some media, you'll see "Fifi couldn't write posts for this media"; that still counts.
What Claude sees: a reduced copy of the picture (or a video's still frame), its notes, tags and the names you recorded of who's shown, your brand voice and your choices. Never your contacts, emails or other records. Owners and admins can turn this off in Settings → Marketing.
5. Make a graphic
- Click Make graphic on an item (or on a post's version).
- Choose a Size (each platform's formats), a Template (Photo, Brand frame, Caption bar, Quote card, or Before and after with a second photo), and type a Headline.
- Drag the picture to adjust the Crop, choose Light text or Dark text, and where the Logo goes (the logo is your workspace's, from Settings → Workspace).
- If you see "Text may be hard to read", click the fix to put a darker bar behind the text.
- Click Download, or Save to library. A saved graphic keeps its settings: Edit graphic reopens it. It has the same people and consent as the photos it came from (both, for Before and after), and it follows them: if someone in the photo withdraws their consent, the graphic becomes Don't use too.
6. Use a post
Open a post from Marketing → Social.
- Copy caption copies the caption, hashtags and then the first comment, ready to paste.
- Download media downloads its photo or video. A post with several gets them as a ZIP (up to 2 GB): we email you a link (it works for 24 hours). You can ask for 10 ZIPs a day; one Fifi refuses (too big, or a consent to confirm first) doesn't count.
- Share (on a phone) opens your phone's share sheet with the media and caption, so you can post straight from Instagram.
- After posting, set the date and paste the link under Mark as posted.
Posts can be Draft, Ready to post or Posted. Filter the list by platform, status and author.
7. Use library photos in a campaign
In the campaign designer, choose an image block, then From library. Fifi makes a copy of the photo for the email (emails need a public picture), so the library item itself stays private, and deleting it later doesn't break emails already sent.
For owners and admins
- Settings → Marketing: a Brand voice (up to 1,000 characters, such as "Warm, a little silly, always mention we're family-owned") that every generation follows; a Brand color and Second color for graphics; and AI for marketing, which is off until an owner or admin turns it on (a workspace made earlier keeps the setting it had), so your media stays out of AI entirely until then. Changes are in the activity log.
- Download all media (in Media) builds a ZIP of every original and emails you a link that works for 24 hours, for you only. Twice a day per person at most; a request Fifi refuses (nothing to download yet) doesn't count.
- Trash: deleted media and posts stay in Settings → Trash for 30 days, then go for good. Posts that used deleted media keep their text and show "Media removed".
- Settings → Plan shows today's generations and your storage.
When something goes wrong
| You see | What to do |
|---|---|
| Coming soon | Storage or the AI service isn't set up yet for Fifi. Nothing to do on your side. |
| A file is refused when you choose it | It's the wrong type or too big. The message says which. |
| An item shows as failed after Checking… | The file wasn't what it said, or was damaged. Move it to the trash and upload the original again. |
| "You have 5 GB of uploads still being checked" | Wait for the uploads you've added to finish (they show Checking…), then add more. |
| "These files are over 2 GB together" | Download the post's media one at a time from the library. |
| "This workspace's media storage is full" | Move media you don't need to the trash. Media in the trash still counts until it's gone for good, 30 days later, so start early. |
| "You've used your 15 generations for today here" or "This workspace has used today's generations" | It says when they reset. Edit the versions you have, or try after the reset. |
| Don't use on an item you need | An owner or admin (or whoever set it) can change the consent once the person agrees. |
| An item you uploaded is gone from the library | Someone declined, so it's Don't use: only owners and admins see it now. Ask one of them. |
