Deals and the pipeline

A deal is a piece of business you're working on with a company. Deals move through four stages, Lead → Qualified → Proposal → Negotiation, and close as Won or Lost. Your workspace may call deals Projects, Jobs or Opportunities.

Deals is a module. If Deals isn't in your menu, an owner or admin can turn it on in Settings → Modules.

Create a deal

  1. Click Deals, then New deal (or New deal on a contact's or company's page).
  2. Fill in:
    • Deal name (required), for example "Annual plan, 50 seats";
    • Value (USD), up to $20,000,000;
    • Stage (starts at Lead);
    • Expected close date;
    • Company (required);
    • Contacts: add 1 to 20 with Add contact, then Done;
    • Owner.
  3. Save.

What you'll see: the deal on the board in its stage, and a "was added" entry on its timeline.

The board

Deals opens the Board: one column per stage. Each column header shows how many deals it has and their total value. Each card shows the name, company, value, expected close date and the owner's initials.

Move a deal: drag its card to another column. Or open the card's menu and pick Move to… a stage. Every stage change is logged on the deal's timeline.

Close a deal:

  • Drag the card onto Drop to mark won or Drop to mark lost (on wider screens), or
  • use the card's menu: Mark as won or Mark as lost…, or
  • on the deal's page, click Won or Lost.

Marking a deal lost asks Why was it lost? Pick a Reason: Price, Timing, Competitor, No decision or Other. "Other" needs a short note in What happened? Then click Mark as lost.

A column shows up to 100 cards, then "+N more in ‹stage›". Use the List view to see them all.

On a phone the won and lost drop zones are hidden. Use the card's menu.

Reopen a deal

On a closed deal's page, click Reopen. Or find it under Closed and click Reopen there. Reopening clears the closed date, lost reason and note. The deal goes back to its stage.

You can't change a closed deal's stage. You'll see "Closed. Reopen the deal to change its stage."

Other views

Use the toggle at the top of Deals:

  • Board: open deals by stage.
  • List: every deal, with a search box ("Search deals"), stage, status (Open, Won, Lost, "Closed (won or lost)"), owner and "Added" date filters. Sort by Newest first, Value (high→low) or Name (A→Z).
  • Closed: won and lost deals, newest first, with the reason and a Reopen button.

Export CSV exports the view you're on: open deals from the Board, closed deals from Closed, or the filtered List.

The deal page

A deal's page shows Value, Company, Expected close, Owner, Closed and Lost because, plus its Open tasks, Contacts and Activity timeline. Creation, stage changes, closing and reopening are logged automatically. You can add photos to a deal's timeline too (a freight lane's dock, say): see Photos on timelines.

Delete a deal

On the deal's page, click Delete and confirm. It leaves the board and lists. Click Undo on the banner to bring it back. An owner or admin can restore it from Settings → Trash for 30 days.

Pipeline numbers

  • The Dashboard shows open pipeline value by stage, deals won this month and the win rate (won ÷ (won + lost) by count, this month). See Dashboard and daily digest.
  • All values are US dollars. Pipeline totals are unweighted.
  • Stages are fixed. Custom or multiple pipelines aren't available.

"Enter an amount up to $20,000,000, like 12,500 or 12,500.50."Values over $20M aren't supported.
"Add at least one contact (up to 20)."Every deal needs one or more contacts.
"This feature is turned off for this workspace"Deals is off. Ask an owner or admin to turn it on in Settings → Modules.
Can't drag to Won/Lost on a phoneUse the card's menu: Mark as won / Mark as lost…
"Someone else changed this deal after you opened it."The deal was saved or moved elsewhere after you opened Edit, so nothing was saved. Copy what you typed, click Reload, then save again. (Moving a card on the board changes only its stage, so it isn't refused.)
