Forms
Lead forms collect enquiries from your own Fifi page or from your website. Each submission adds the person (or matches them by email), puts their answers on their timeline, and can start an automation.
Forms is part of the Forms and automations module. If Settings → Forms is missing, an owner or admin can turn it on in Settings → Modules.
Who can do it:
| Task | Owner | Admin | Member |
|---|---|---|---|
| See forms, submissions and embed code | Yes | Yes | Yes |
| Create, edit and delete forms | Yes | Yes | No |
| Export submissions as CSV | Yes | Yes | No |
Create a form
- Go to Settings → Forms and click New form.
- Fill in Name, Page address and an optional Description.
- Fields: first name, last name and email are always asked (and required). For Phone, Company and Message, choose Don't ask, Optional or Required. Click Add a field for up to 10 more: Short text, Long text, Choice (2–20 options, one per line) or Checkbox.
- After someone sends it: write a Thank-you message, or give a page to send them to under Or send them to a page (an
https://address). - Who they become:
- Add a tag to everyone who submits;
- Owner of new contacts (by default the workspace's first owner);
- Add their company: links new contacts to the company with their work email's domain, or adds it. Gmail and other free addresses never make a company.
- Tick Taking submissions.
- Save.
A workspace can have up to 20 forms.
Forms can't ask for passwords, or for sign-in, verification or one-time codes. Fifi refuses those words, and every form ends with "Fifi never asks for sign-in codes or passwords in forms."
Share it
Each form has its own page: https://‹fifi›/f/‹workspace›/‹form›. Share the link anywhere.
Embed it on your website
Copy the code under Embed on your website (Copy code) and paste it into your site's HTML. It's an iframe, so there's no script to add:
<iframe src="https://‹fifi›/f/‹workspace›/‹form›?embed=1" title="‹form name›" style="width:100%;min-height:640px;border:0;" loading="lazy"></iframe>Use the exact code Fifi gives you; it has your addresses filled in.
What happens when someone submits
- They fill in the form, pass a quick security check, and click Send.
- They see the thank-you message (or go to your page).
- In Fifi:
- someone already in Fifi is matched by email and never changed; they just get the tag and the submission;
- otherwise a new contact is created with source Inbound and the form's owner;
- the answers appear on their timeline as Form submitted;
- automations for "A form is submitted" run (and "contact is created" for new contacts).
Because anyone can type any email into a form, a submission that matches an existing contact is marked Email not verified.
See submissions
- In Settings → Forms, open the form.
- You'll see ‹form›: submissions, newest first, 50 to a page (Show older for more). New marks submissions that created the contact.
Owners and admins can Export CSV (up to 20,000 rows). Exports are recorded in the activity log.
Spam protection
Forms have a security check (Cloudflare Turnstile), a hidden trap field for bots, and limits: 20 submissions an hour from one address, 200 an hour per form, and 5 a day per email address per workspace.
Troubleshooting
| Problem | What to do |
|---|---|
| "This form isn't available" | Tick Taking submissions, check the address, and check the module is on. |
| "Forms can't ask for passwords, or for sign-in, verification or one-time codes." | Reword the field or message. |
| A submission didn't update the contact's details | That's deliberate: existing contacts are never changed by a form. |
| No company was added | The email was a free address (like Gmail), or the contact already existed. |
| The embedded form is cut off | Increase min-height in the iframe code. |
