Modules, business types and plans

Fifi adapts to your kind of business. The business type sets the words Fifi uses. Modules turn features on and off. Plans (Free, Pro, Business) decide which modules and limits a workspace gets; during the beta, everyone gets everything. Anyone can compare the plans, signed in or not, on the public Pricing page.

Business type

You pick a business type when you create a workspace. To change it:

  1. Go to Settings → Workspace → Business type.
  2. Choose under What kind of business is this? The preview shows the words you'll get.
  3. Click Save. "Saved. This workspace now says Clients and Projects." (for example)
Business typeContacts are calledDeals are called
B2B salesContactsDeals
Agency or consultingClientsProjects
Appointment servicesClientsDeals
Pet servicesClientsDeals
Home and field servicesCustomersJobs
Real estateContactsDeals
NonprofitSupportersOpportunities
Freight and logisticsContactsLanes
OtherContactsDeals

The words appear in the menu, titles, buttons, search and report fields. "Companies", the pipeline stages, web addresses, the API and CSV column names don't change.

The type also orders report templates and Ask Fifi suggestions. Changing it doesn't turn modules on or off. That's in Settings → Modules.

Modules

Go to Settings → Modules.

Always on: Contacts, Companies, Tasks, "Notes, calls and meetings", Calendar, Search, and Import and export.

Optional:

ModuleWhat it adds
Deals and pipelineDeals, the board, pipeline numbers
EmailConnecting mailboxes, Inbox, sending and tracking
CampaignsMarketing (needs Email to send)

Ask FifiThe assistant (needs Reports)
API and webhooksSettings → API

TextingTexts (Coming soon)
PetsPets on each contact's page, the Pets list, vaccinations
BoardingKennels (Settings → Boarding), stays and the kennel board (needs Pets)
Service recordsService records (products applied on each visit, the report), Settings → Service records
LoadsLoads (the board, list and Today), the Loads sections on company and deal pages, the dashboard's Today's loads, the calendar's stops
InvoicingInvoices (the list, the editor, printing and the customer link), the Invoices cards on contact, company and deal pages, Invoice on visits, stays, service records and loads, Payments and Receivables, the dashboard's Money card, reminders, Settings → Invoicing

Flip a module's switch. It saves at once: "‹Module› on." / "‹Module› off."

New workspaces start with the modules their business type suggests:

No type starts with API and webhooks, and only Freight and logistics starts with Loads; turn them on if you need them. Invoicing starts on for Agency or consulting, Appointment services, Pet services, Home and field services, and Freight and logistics; B2B sales, Real estate, Nonprofit and Other turn it on in Settings → Modules when they want it. These are only the starting point for a new workspace: one you made earlier keeps the modules it has, so a workspace made before v0.57.0 has Invoicing off until you turn it on, and an appointment services or freight workspace made before v0.61.0 does too.

What turning a module off does

  • Its menu items, settings tabs and pages are hidden. Visiting a page shows "This feature is turned off for this workspace".
  • Its background work pauses: campaigns stop sending, mailboxes stop syncing, webhook events wait (up to 30 days of them are sent when you turn the API back on).
  • Nothing is deleted. Turning it back on brings everything back.

Connected mailboxes stay connected while Email is off; you can still disconnect yours in Settings → Email.

Plans

Go to Settings → Plan to see your plan, the three plans side by side and a Usage table. Compare plans in detail opens the public Pricing page, which lists every module and limit in a table; it shows the same numbers as this page and as the guide you're reading.

Storage: photos, media and documents

One storage allowance covers the media library, loads' documents and the photos on customers' timelines: the Photo, media and document storage row above. Settings → Plan shows how much is used, with a line "of which timeline photos". Free can see photos but can't add them once plans are enforced; during the beta everyone has Business's amount. See Photos on timelines.

What each plan includes for invoicing

Invoicing is one module, and everything that goes with it comes with it. There are no separate switches, add-ons or limits for the parts.

Payments by hand, receivables and remindersNot includedYesYes
Online payments (Stripe)Not includedYesYes
QuickBooks export (a file for Online or Desktop)Not includedYesYes
QuickBooks Online syncNot includedYesYes

Online payments go through your own Stripe account: the money goes straight to you, Stripe charges you its standard fees, and Fifi adds no fee on payments. Online payments are for US businesses and US dollars. See Online payments and Invoices.

Invoicing isn't on Free. Try it first in one of the live samples, which have it on.

The Ask Fifi add-on

Ask Fifi is a paid add-on on Pro and Business (not Free): $5 a month for 50 questions a month per workspace. Having Ask Fifi on (the module, plus its switch in Settings → Workspace) is what adds it. Need more in a month? An owner or admin clicks Add 50 more questions (+$5) in Settings → Plan or Settings → Workspace; the extra questions are for that calendar month only (UTC).

Settings → Plan, Settings → Workspace and the Ask Fifi panel show "12 of 50 questions this month". A question counts when Fifi works on it, answered or not; refusals (limits, Ask Fifi off) don't. Counts reset on the 1st of each month (UTC).

During the beta, Ask Fifi isn't billed and doesn't stop at the allowance: past it, the panel says so and keeps answering, and packs are recorded, free, and billed only once billing starts. The hourly, daily and per-workspace safety limits still apply (see Ask Fifi).

During the beta, everything is included: every module and add-on, at Business limits. Badges in Settings → Modules show which plan a module would need. There's no billing yet; the prices above apply once it starts.

Online booking on Pro sends confirmations and reminders by email, with up to 5 booking types (Business: 20). Text reminders need Texting, which is on Business.

A few limits apply on every plan regardless: 20 forms and 25 automations per workspace. Texting's limits (300 a day, 2,000 a month) apply during the beta too, because every text costs money. You can't buy extra texts. US carriers charge a one-time registration fee, passed on at cost: from $19.50, and from $1.50 a month. See Register your business for texting.

To change plans, contact Fifi support. Changing plans never deletes anything.

What happens at a limit

Once plans are enforced (not during the beta), a limit stops only the action that would go over it. Fifi says so in words, for example "This workspace’s plan has no room for another saved report. See Settings → Plan." or "This workspace’s plan doesn’t allow more booking types." Everything else keeps working, and nothing is deleted: not when you reach a limit, and not when you move to a smaller plan. A feature your plan no longer includes is hidden and stops running, and comes back with everything in it when you move back up. The Usage table in Settings → Plan shows how close each limit is.

Troubleshooting

  • "Only owners and admins can change modules." Ask an owner or admin.
  • "Needs Reports, which is off." Turn on the module it depends on first.
  • "Campaigns wait to send until Email is on." Turn Email on.
  • A module shows "Coming soon". It isn't available yet. "It will be on here when it arrives" means your workspace will get it automatically.
